Job Purpose

 

The Assistant Dean plays a pivotal role in the strategic and operational management of CEMSE Division at KAUST. Reporting directly to the Dean, the Assistant Dean provides leadership in faculty affairs, research infrastructure, funding initiatives, external relations (including workforce development), and strategic planning.

 

This role requires a highly motivated individual with exceptional administrative, organizational, and leadership skills to support the Division’s mission, growth, and excellence in research and education.

 

 

Major Accountabilities

 

1. Overall Management Tasks for the Dean’s Office

  • Collaborates with the Dean and senior leadership to achieve strategic divisional goals.
  • Manages and sets objectives for the web/IT team within the Division.
  • Liaises with other offices, divisions, and departments, representing the Division in meetings and contributing to document development as required.
  • Analyzes Division operations and contributes to the development and optimization of existing procedures, including emergency plans and safety protocols.
  • Oversees safety and security matters, liaising with relevant departments to initiate assessments and investigations when necessary and coordinating the implementation of corrective measures.
  • Analyzes staffing needs and proposes new roles as required.
  • Prepares and delivers presentations on various aspects of Division business as needed.

 

2. Space and Equipment Management

  • Manages the preparation of Division items for review in the ASEPC committee.
  • Oversees office space allocations for faculty and staff.
  • Plans and, when relevant, manages the implementation of office space optimization and research facility development.
  • Advises and supports faculty in planning and setting up laboratories and acquiring necessary equipment.

3. Management of the Faculty Promotion Process

  • Supports promotion candidates in the preparation of their promotion portfolios
  • Manages the Divisional component of the faculty promotion process, including the organization of program reviews and preparation of documentation for the Promotion and Appointment Committee (PAC).

4. Support for Strategic Initiatives and Projects

  • Supports the Dean, the Associate Deans and faculty in identifying and implementing strategic projects and initiatives, as requested.
  • Assists the Dean and the Associate Dean for Research in determining the research direction for the Division.
  • Assists faculty in the preparation of research proposals, when needed.
  • Assists the Dean in preparing documents related to the Dean’s office business, including risk registers and procedural guidelines.

5. Support for Workforce Development and other Educational Initiatives

  • Support the Dean and the Associate Dean for Student Affairs in the determination of the workforce development needs.
  • Support the Dean and the Associate Dean for Student Affairs in the development of the workforce development programs.
  • Support the Dean and the Associate Dean for Student Affairs in the optimization of the faculty assignment to different internal and external programs.

Qualifications

 

  • Ph.D. in one of the fields of Exact Sciences or Engineering.

 

Experience

 

  • Minimum of 10 years combined experience in Scientific Research and Academic Administration within a University or Research institution.
  • Hands-on experience in managing and operating research laboratories, particularly in Electro-Physics or related Engineering fields.
  • Strong familiarity with academic environments and administrative structures, preferably in International Institutions.
  • Expertise in grant writing, securing funding, and managing large-scale projects.
  • Experience in developing partnerships with Industry, Government agencies, and Research Organizations is highly desirable.
