Job Purpose

The KGSP Student Operations Lead is a key member of the KAUST Gifted Student Program (KGSP) team and is responsible for the operational management of key program functions across admissions, student enrichment, and program data and reporting. The position focuses on managing end-to-end processes, coordinates timelines and stakeholders, maintains accurate records, communicates with students to ensure the effective, accurate and timely delivery of program activities. routine program processes are completed efficiently and on time. The role works closely with the Head of KGSP and internal team members to support program delivery and continuous improvement. The role also contributes to wider team priorities and undertakes additional responsibilities as required to support the effective delivery of

the KGSP program.

 

Major Accountabilities

Admissions Operations

  • Manage the end-to-end operational delivery of the KGSP admissions process.
  • Coordinate application timelines, requirements, forms, documentation and key admission deadlines.
  • Track applications status and follow up with students regarding their missing information of required actions.
  • Work closely with the Head of KGSP and internal team members to ensure the admissions process is aligned with program requirements and priorities.
  • Communicate with applicants and students throughout the admissions process.
  • Maintain accurate and organized admissions records.

Enrichment Operations

  • Manage the planning, coordination, and operational delivery of student enrichment programs.
  • Coordination logistics for enrichment activities, including registrations, forms, attendance, and participation records.
  • Communicate with students about enrichment activities, requirements, and deadlines.
  • Coordinate with internal and external stakeholders on program logistics.
  • Track participation and follow up with students as needed.
  • Maintain organized records of student enrichment activities.
  • Gather feedback and participation data to support the evaluation and continuous improvement of enrichment programs.

Data & Reporting

  • Maintain accurate student and program data in relevant systems and spreadsheets.
  • Update records and ensure information is complete and current.
  • Track key deadlines, activities, participation, and other program information.
  • Prepare routine reports, lists, and data summaries for the program leadership team.

Qualifications

  • Bachelor's degree in business, data, or a related field.
  • Proficiency in English and Arabic.

Experience

  • Minimum of 5-7 years of experience in international student advising or university admissions.
  • Experience working with high-achieving students.
